This Privacy Policy explains what information BYUward (byuward.us and its ward subdomains) collects, how it is used, and your choices. BYUward is a ward website and management platform used by YSA wards.
Information We Collect
- Member/directory information: name, email, mobile number, birth date, and other roster fields a ward chooses to collect (e.g. via its Survey or Members import), used to run that ward's directory, callings, and communications.
- Appointments & calendar: appointment bookings with ward leaders, and (when a ward enables it) calendar events synced with a leader's Google Calendar.
- Photos: images/videos submitted through the site's photo upload page, optionally with a submitter's name.
- Form submissions: rideshare posts, prayer requests, contact forms, and similar public forms.
- Basic technical data: standard web server logs (e.g. IP address, browser type, pages visited) used for security and troubleshooting.
How We Use Information
- To operate a ward's directory, calendar, appointments, callings, and communications (email/text reminders).
- To display a ward's activity photos and public submissions (rideshare, prayer list) to its members.
- To respond to messages sent via a contact form.
- To monitor and improve site performance and security.
Text Messages (SMS)
If you provide a mobile number (for example when booking an appointment or through your ward's roster), BYUward may send you text messages such as appointment confirmations and 24-hour and 1-hour appointment reminders. Text messages are sent through Amazon Simple Notification Service (Amazon SNS), an Amazon Web Services (AWS) product. Your mobile number and the message content are passed to AWS solely to deliver the message.
- Consent: texts are sent only to numbers provided to BYUward for that purpose. Providing your number and booking an appointment or joining a roster constitutes your consent to receive related messages. Consent is not a condition of any purchase.
- Opt-out: reply STOP to any message to stop receiving texts. You can also ask your ward's leadership to remove your number.
- Help: reply HELP or contact the site administrator below.
- Cost: message and data rates from your carrier may apply. Message frequency varies with your appointments.
- No sharing for marketing: mobile numbers and SMS opt-in data are never sold, rented, or shared with third parties or affiliates for marketing or promotional purposes.
Google Calendar Integration
When a ward leader connects their Google Calendar, BYUward accesses only the calendar data needed to sync that leader's ward-related events. BYUward's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google account data is never sold, and is never used for advertising. A leader may disconnect their Google Calendar at any time from their ward's Manage Site settings.
Sharing of Information
We do not sell or rent personal information. Information a ward collects is visible to that ward's own members/leaders as appropriate to the feature (e.g. a directory entry, an appointment, a photo). We only share data outside a ward if required by law or to protect our rights.
Third-Party Services
BYUward uses third-party services to operate certain features: Google Calendar (event sync), Amazon Web Services (Amazon SNS, for text-message appointment reminders), an email provider (appointment and other notices), and a ward's own GroupMe (linked, not embedded). Each provider's own privacy policy governs their handling of data passed to them.
Your Choices
- Directory/roster data: contact your ward's leadership to correct or remove your information.
- Photos: contact your ward's leadership to request removal of a submitted photo.
- Text messages: reply STOP to any text to opt out, or ask your ward's leadership to remove your number.
- Google Calendar: disconnect at any time from Manage Site > Google Calendar.
Children's Privacy
This site is not directed to children under 13, and we do not knowingly collect personal information from them.
